Member Services Director
Position Summary: Responsibilities of this position centered around Membership include data entry of membership transactions into the computer system; preparing and forwarding acknowledgments, membership packets, and renewal statements to members; responding to customer service requests and primarily responsible for answering phones; providing assistance in planning and staffing membership events.

Primary Purpose and Function:
The Member Services Director is responsible for all Piedmont Triad Apartment Association membership functions.
Administrative Responsibilities:
- Establishes and maintains key relationships with members, partners, and vendors in the Triad area.
- Serves members by answering phone inquiries professionally and courteously.
- Enters new members into database systems (Novi/ QuickBooks and NAA portal)
- Proctor credential and CFC certification exams as needed by Education Director
- Resolves customer requests, questions, and complaints frequently, requiring analysis of situations to determine the best use of resources.
- Schedules room rentals (Education Center, Board, and Maintenance Training Center). Helps ensure rooms are arranged correctly and ready for use.
- Maintains accurate member records in Novi and QuickBooks
- Performs annual audit prior to dues billing to ensure all billing information is accurate.
- Solicits sales of PTAA products: membership, sponsorships, training, and participation in networking events
- Provide staffing for after-hours room rentals as needed
Financial Management:
- Invoice members for participation in events or classes
- Manage billing for annual sponsors and advertising
- Ensure non-members attending events and classes and billed the correct rate and payments collected before participation
- Process checks and credit card payments
- Past dues collections and account management
- Enter bills into QuickBooks and issue checks for Executive Director to review and sign
- Manage ACH payments
- Monthly bank reconciliation
- Perform all tasks for annual dues billing and collections
- Handle bulk registration sales for NAA Apartmentalize (alternating years)
Committee and Event Management:
- Oversee ECHO committee by attending monthly meetings, helping to guide quarterly service projects, planning and executing events, and professional growth opportunities.
- Oversee Programs Committee by attending monthly meetings and assisting in the planning and implementing non-signature events.
- Oversee Trade Show Committee, which plans and executes the annual trade show.
- Set up and manage events and meetings in Novi related to ECHO, Programs, or Trade Show.
- Create name tags and registration for events
- Manage member relationships by attending scheduled events
- Assist all team members in any event management tasks
- Maintain relationships with PTAA committees by being involved and staffing meetings
- Perform other duties as assigned by the Executive Director
Education/Experience:
High School Diploma and two years of administrative experience. A College degree in Business Administration, management, or similar course work, is preferred. Working knowledge of MS Office Suite, QuickBooks, Outlook Express, and standard office equipment.
Knowledge of AMS systems a plus (Novi, Yardi, MRI, One-Site)
